Enhancement Resources

In addition to their mission of sharing the world of research, the Byrne Seminars aim to connect faculty and students socially. We hope these small classes may give birth to mentoring/advising relationships, too. To encourage friendships and long-term professional engagement between teachers and students, both in and out of the classroom, the Office of Undergraduate Education has set aside up to $400 for each seminar which may be used for field trips, shared meals, and the occasional outside speaker.

FIELD TRIPS

Field trips of all sorts are encouraged in order to enhance the seminar content and simply to share an adventure. All field trips for which you want support from our office must be approved beforehand. Some trips may exceed the $400 budget; we will decide these on a case-by-case basis in relation to available funds and our assessment of the trip's educational value and contribution to the overall health of the program.
Requests for field trips should be submitted to Kathleen Hull for approval. Requests should include anticipated expense. If you need assistance determining the expenses for a field trip, please contact Cara Macaluso.
Cara Macaluso will arrange for appropriate transportation for your trip, based on the number of participants. You must travel with your students on class trips off campus. NJ Transit tickets, a van, or a bus will be arranged, depending on which mode of transportation is most economical. We rent either large charter buses or mini buses (with driver). In the fall semester there is one week in September when NJ students may ride on NJ Transit for free—Cara can tell you which week it is. If you can take your field trip then, it saves us money.

Professors are responsible for paying admission fees and extraneous costs on the day of the trip. Cash advances are not available for field-trips. You may submit your receipts for reimbursement and the appropriate forms will be completed by Cara in Academic Engagement and Programming. Last year groups went to Google Corporation, Ripley's Believe It or Not, Edison National Historic Site, the Jewish Museum, Clinton Headquarters in NYC on election night, an off-off Broadway play in NYC, Newark, The Cloisters, The Tenement Museum, Harlem, Coney Island, an architecture firm in Princeton, an artist's studio in New Jersey.

For all trips off campus, you will need to fill out one Travel Itinerary Form, to be submitted to the Rutgers University Police Department (RUPD) prior to departure. In addition, each student in your seminar will have to fill out a Transportation Waiver (either Train, Bus/Van, or Private Vehicle) to be filed with Cara Macaluso in the Office of Academic Engagement. If any of your seminar students plan to break away from the group and come back to campus on their own, then they must fill out an Independent Student Waiver form. Finally, we offer a sample Travel Information Sheet with some facts you may want to tell your students prior to embarking on your Seminar adventure. OUTSIDE SPEAKER

An outside speaker can enhance a seminar. Our office will pay up to $250 toward a speaker's fee—pre-approval required.
Requests for outside speakers should be submitted to Kathleen Hull for approval. Tel. 732-932-8273.
Cara Macaluso will arrange to pay an honorarium to your speaker. The Office of Academic Engagement and Programming will send the speaker appropriate paperwork necessary for payment and the speaker will be required to generate an invoice on his/her letterhead (a sample invoice will be provided). Information needed: name, mailing address, phone number, e-mail address, and social security number of speaker, date of speaking engagement, course information including course name, date, time, and location, and expectations of the speaker (e.g., topic to be presented or discussed, question and answer period, discussion) and agreed upon cost of speaker.

FOOD

Requests for approval for food for your seminar should be directed to Cara Macaluso. You must remain within your seminar budget—$400 per seminar—and obtain approval beforehand. Cara will help you plan for pizza delivery to your classroom; a breakfast, lunch, or dinner at the Rutgers Club; coffee and donuts at a local eatery; bagels and cream cheese at your morning seminar, etc. Save your receipts!  Send receipts to Cara Macaluso, Academic Engagement and Programming, Bishop House Room 207, 732-932-7442. In some cases, we can arrange to have the vendor bill the program directly. If you pay yourself, you will be reimbursed by check from the University.
